Workshop Responsibilities


Facilitators' Responsibilities

        •  Provide the company's cost of bringing in the facilitators and             producing the workshop to the sponsor who             can then add its costs for the facility and
            food to arrive at a per participant registration             fee.

        •  Providing workbooks to purchase

        •  Providing all handouts and materials.

        •  Bringing posters on the topic to decorate the walls if needed.

        •  Communicating details to participants.

        •  Assisting with marketing the workshop through emails, flyer              creation, and website.

        •  Assisting with facility setup and cleanup.

        •  Presenting the material and coordinating the workshop.

        •  Responding to participant needs and concerns throughout the             workshop.

        •  Providing a detailed follow-up report to the sponsor.



Sponsors' Responsibilities

        •  Commitment to a minimum number of participants (30-45 people).

        •  Providing the facilitators with a single contact person (team leader)             and a backup person for local coordination (even if there is a team             handling arrangements).

        •  Working with the facilitators to determine the cost/per participant

        •  Handling ALL logistical matters leading up to and during the             workshop including:

                       •  Finding a facility to accommodate up to 50 people                             including facilitators, with a large meeting room and at                             least 4 quiet breakout spaces for groups of up to 15                             people and a break room (preferably with a cot/bed) for                             the facilitators and assistants. Facility needs to be                             handicapped-accessible and have a minimum of 4 toilets.

                       •  Handling all arrangements for food/food service, etc.           

                        •  Hospitality for the facilitators (reduces costs, vs. hotels).

                       •  Provide the facilitators with the costs for these logistics                            and consult with them about the fee to charge participants.

        •  Coordinate sponsorships for people who cannot afford to come.             (Note: You may choose to subsidize the whole workshop to reduce             costs.)

        •  Handling any local media and assisting with email distribution of             messages from the facilitators to local networks unavailable to the             facilitators.

        •  Assisting with lodging or information about lodging as needed for             out-of-area travelers.

        •  Assisting with identifying parking locations, directions, maps, etc.             for the meeting facility.

        •  Picking up some supplies that are difficult or heavy to travel with:             poster board, Kleenex, flipchart, flowers, stapler, etc.

        •  Providing a printer (along with the printer software) to connect to             our laptop. A backup plan is to identify somewhere convenient             nearby with printing/copying capabilities.

        •  Providing on-site personnel, preferably at least one person the             whole time, with a couple of others part-time. It is recommended             that sponsor representative be onsite throughout or available             throughout for questions (could be a participant). Some of the             functions that need to be handled by volunteers are: greeters,             registrars, kitchen/food helpers, setup and cleanup assistants,             staff support throughout for handouts/coordinating supplies/etc.             Note: If we are aware of previous workshop attendees in your             area, we will gladly invite them to do service at the workshop.

        •  While it is not a requirement for this type of workshop, it can be             helpful to have someone on hand who is a marriage and family             therapist or a general therapist to support occasional participants             who may be struggling with a particular issue.
